Privacy Policy
Last updated October 15, 2026
- We collect what we need to run your account and send your emails, and nothing more.
- Your contact lists belong to you. We handle them only on your instructions, and we never sell them or email them ourselves.
- We follow Canada's privacy law (PIPEDA). You can ask to see, correct or delete your information at any time.
1. Who this policy covers
This policy is from LyncMail ("we", "us"). This policy explains how we handle personal information about:
- Customers: the businesses and people who sign up for LyncMail and their team members. For this information, we decide how it's used.
- Contacts: the people on our customers' email lists. Our customers decide what is collected and why. We process it on their behalf and on their instructions. If you're on a LyncMail customer's list, contact that business first. You can always unsubscribe using the link in any of their emails.
- Visitors to lyncmail.com.
2. What we collect
- Account details: your name, email, phone, password (stored scrambled, never in plain text), business name and mailing address, account name, time zone and logo.
- Billing details: your plan, invoices and payment status. Card details are entered on Stripe's secure pages and kept by Stripe. We never see or store your full card number.
- Contact lists and content: the contacts you add or import (usually names, emails and phone numbers), the groups you put them in, and the emails and images you create.
- Email activity: for each email sent, whether it was opened (when the recipient's mail app loads images), clicked or unsubscribed, and, as reported by our email delivery provider, whether it was delivered, bounced or marked as spam. Addresses that bounce or report spam are kept on a do-not-email list so they aren't emailed again.
- Technical information: IP address, browser type and sign-in times, used to keep accounts secure and to fix problems. When you accept our Terms, we record the date, time, IP address and version you accepted.
3. How we use it
- To create and run your account, send your campaigns, and show you reports.
- To bill you and keep records that tax law requires.
- To send you service messages, such as sign-in codes, receipts, trial reminders and important changes. If you agree, we may also send occasional product news, and you can unsubscribe at any time.
- To protect the service: preventing spam and abuse, keeping delivery healthy, and keeping accounts secure.
- To improve LyncMail using combined, anonymous statistics.
We don't sell personal information, and we don't use your contacts for our own marketing.
4. Who we share it with
We use a small number of trusted service providers to run LyncMail. They may only use the information to provide their service to us:
- Hosting and security: Hostinger (servers) and Cloudflare (website security and speed).
- Email delivery: Resend, which delivers the emails you send.
- Payments: Stripe.
- AI writing help: if you use it, the text you ask about is sent to an AI provider to generate suggestions. Contact lists are not sent.
We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a sale or merger of our business. In a sale or merger, this policy would continue to apply.
5. Where it's stored
Our providers may store or process information outside Canada, including in the United States and the European Union. When that happens, the information may be accessible to courts and authorities in those countries under their laws. We choose providers that protect information to a standard comparable to Canadian law.
6. How long we keep it
- Account information and contacts: while your account is open, and for 30 days after it closes, in case you return or ask for an export. After that, they are deleted from live systems, and from backups as those backups expire.
- Billing records: as long as tax law requires (in Canada, usually 6 years).
- Unsubscribe records: kept for as long as needed so that unsubscribed people stay unsubscribed.
7. Security
We use encrypted connections (HTTPS), scrambled passwords, separate databases for each customer account, access controls and regular updates. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify affected people and the Privacy Commissioner of Canada as the law requires.
8. Cookies
We use only the cookies needed to keep you signed in and protect forms. We don't use advertising cookies. The emails you send contain a small tracking image and tracked links so you can see opens and clicks.
9. Your rights
You can ask to see, correct or delete the personal information we hold about you, or withdraw consent to optional uses, by emailing [email protected]. We will reply within 30 days. If you're a contact on a customer's list, we will pass your request to that customer or help you with it where we can. If you're not satisfied, you can contact the Office of the Privacy Commissioner of Canada.
10. Changes
If we make significant changes to this policy, we will let customers know by email or in their account before the changes take effect.
